GoFrom excess use of paper – to the vast consumption of resources like water, the hospitality industry produces a considerable amount of waste. That said, many brands are stepping into action to limit waste and become more sustainable. The timing couldn’t be more crucial. According to a recent report in Forbes, younger generations consider environmental stewardship when deciding where to spend their hard-earned money.
Going green doesn’t have to be an “all-or-nothing” initiative. It can be implemented in steps, one project at a time. One easy way to get started is to limit the use of paper. Evaluate existing processes that are used to create and manage important information, such as vendor and banquet contracts, guest transactions, or human resources. While each organization will have a different approach to their document management, key areas to evaluate for reducing the use of paper are:
Registration – digital engagement at the front desk not only creates a more progressive experience during arrivals and departures, but guests also come away with a positive, ‘green’ impression of the brand. The use of digital registration cards, fast ID verification, automated night audit reports, and e-waiver processes make the business more agile.
Improve response times and overall collaboration with digitized records shared with team members, customers, and suppliers in real-time.
Human Resources – efficiently organize, manage, and secure employee records by centralizing and digitizing HR documents. A small measure that helps rid the business of clutter while creating more room for the organization to grow.
Procurement – retrieve required documents, such as proof of delivery, RFPs, and supplier bids quickly and securely with the press of a button.
Accounts Payable – capture proof of delivery, purchase orders, and invoices to quickly create a 3-way match and speed up the approval process. Reducing paper documentation saves time, helps eliminate unessential staff effort, and sets the stage to becoming environmentally friendly.
Adopting an integrated system that enables teams to digitally create, send, collaborate, store, and manage all documents will help recoup productivity losses. Brands rising to meet ‘green’ standards will stand apart from the competition as more and more consumers consider the environment before making buying decisions. In our always-connected society, consumers have information at their fingertips at all times. Brands that demonstrate social and environmental responsibility initiatives are paving the way.
